The Medical Protection Society Limited (MPS) is a world-leading protection organisation for doctors, dentists and healthcare professionals, protecting and supporting the professional interests of more than 300,000 members around the world. Membership provides access to expert advice and support together with the right to request indemnity for any complaints or claims arising from professional practice.

Business Needs

The Medical Protection Society has a team of knowledge advocates ready to respond to their members’ queries. They had found that their existing knowledge management system was increasingly not fit for purpose – the user experience was not good. MPS made the decision to go out to tender for a solution that could be delivered using Microsoft SharePoint.

Why Black Marble

Black Marble had previously worked with MPS, on more than one successful project, so when the Tender process started, we were invited to submit a response. Through the competitive process, we were shortlisted and ultimately awarded the contract. MPS’ teams of business and technical experts all agreed that Black Marble’s skillset, and proposed solution, was the best fit for the project. They were impressed with our 10+ years of experience working with SharePoint, as well as with our team of internationally recognised experts. Plus, MPS were impressed with the flexibility provided by Black Marble’s team, working to ensure the proposed solution met their needs.

Solution

The main requirement was for a knowledge management solution that could be easily accessed by staff in multiple locations. The solution had to contain strong document management, record management, workflow and search capability to which Black Marble proposed a SharePoint solution to meet MPS’ business needs.

As with all our SharePoint engagements, Black Marble ran a series of workshops with MPS to discuss the information architecture, user experience design, governance, compliance and implementation plan. These workshops formed the plan, processes, and surfaced the information needed to successfully implement the system. Once the configuration and implementation of the SharePoint solution was complete, various fail-over testing and disaster recovery procedures were discussed and implemented with MPS. With all the fundamental aspects of the solution in place, Black Marble then proceeded with the migration their old solution.

Knowledge Transference

Throughout the project MPS took part in knowledge transfer, having appointed SharePoint Champions from both the technical and business side, they were able to share this knowledge with the wider business in order to support them with fixes, testing and using the platform. In addition, for the data migration, an MPS consultant worked closely with a Black Marble consultant to ensure a smooth transition and was commended as an approach.
